How MainteNex collects, uses, stores and shares your information when you use the app, and how to ask us to delete it.

This Privacy Policy describes how MainteNex ("we", "our", "us"), operated by Appseed, collects, uses, stores, and shares your information when you use the MainteNex mobile application and related services (collectively, the "Service"). By using the Service you agree to the practices described in this policy.

1. Who We Are

MainteNex is a community maintenance management application that helps apartment communities manage flats, track expenses, generate invoices, and process maintenance payments.

2. Information We Collect

2.1 Information you provide directly

  • Account details — phone number, full name, email address, profile photo.
  • Community details — community name, address, your flat/block/floor, role (admin, flat owner, resident).
  • Financial details — bank account information (for receiving community payments), expense entries, invoice records, payment records and receipts.
  • Uploaded content — receipts, invoices, maintenance documents, and images you choose to upload.
  • Communications — messages, support requests, and feedback you send us.

2.2 Information collected automatically

  • Device information — device model, operating system, app version, device identifiers, language and locale.
  • Usage data — screens visited, features used, timestamps of actions, crash logs, and diagnostics.
  • Push notification tokens — Firebase Cloud Messaging (FCM) tokens used to deliver notifications.

2.3 Information from permissions

With your consent we may access:

  • Camera — to capture photos for maintenance reports, receipts, and profile pictures.
  • Photos / Media — to upload images from your device library.
  • Biometrics (Face ID / Fingerprint) — processed locally on your device to unlock the app. We never receive or store your biometric data.
  • Notifications — to deliver transactional updates (invoices, payments, community announcements).

You can revoke these permissions at any time from your device settings.

2.4 Information we do not collect

  • We do not collect advertising identifiers (IDFA / AAID).
  • We do not use third-party advertising networks.
  • We do not sell your personal information.

3. How We Use Your Information

We use the information we collect to:

  • Create and maintain your account and verify your identity via OTP.
  • Operate core features — communities, flats, members, expenses, invoices, payments, bank accounts.
  • Deliver transactional notifications (invoice generated, payment received, community announcements).
  • Provide customer support and respond to your requests.
  • Detect, prevent, and investigate fraud, abuse, and security incidents.
  • Improve the app through aggregated analytics and crash reporting.
  • Comply with legal obligations, tax requirements, and enforceable requests from authorities.

We process your personal data on the following legal bases: performance of a contract (providing the Service), your consent (permissions, notifications), our legitimate interests (security, improvement), and compliance with legal obligations.

4. How We Share Your Information

We share information only in the following circumstances:

  • With other members of your community — your name, flat number, role, and expense/payment activity relevant to the community are visible to co-members and admins as required for the Service to function.
  • With service providers — hosting (cloud infrastructure), push notifications (Google Firebase), SMS/OTP delivery, email delivery, and analytics/crash reporting. These providers process data on our behalf under appropriate agreements.
  • For legal reasons — where required by law, court order, or to protect the rights, property, or safety of MainteNex, our users, or others.
  • Business transfers — in connection with a merger, acquisition, or sale of assets, subject to the protections of this policy.

We do not sell or rent your personal information to third parties.

5. Data Storage and Security

  • Data is stored on secure servers operated by our cloud providers.
  • Communication between the app and our servers is encrypted using HTTPS/TLS.
  • Authentication tokens and sensitive preferences are stored in the operating system's secure storage (Keychain on iOS, Keystore/EncryptedSharedPreferences on Android).
  • Access to personal data within our systems is restricted to authorised personnel on a need-to-know basis.
  • Despite reasonable safeguards, no system is completely secure. You are responsible for keeping your login credentials confidential.

6. Data Retention

We retain your personal data for as long as your account is active, or as needed to provide the Service. Financial records (invoices, payments, bank details) may be retained for longer periods to meet tax, accounting, and legal obligations.

When you delete your account, we will delete or anonymise your personal data within a reasonable period, except where retention is required by law or legitimate business purposes (e.g., fraud prevention, dispute resolution, financial record-keeping).

7. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate or incomplete data.
  • Request deletion of your data ("right to be forgotten").
  • Object to or restrict certain processing.
  • Withdraw consent where processing is based on consent.

MainteNex is not intended for use by children under the age of 13 (or the minimum digital-consent age in your jurisdiction). We do not knowingly collect personal information from children. 9. International Data Transfers

Your information may be processed and stored in countries other than your own. Where data is transferred internationally we rely on appropriate safeguards (such as standard contractual clauses) to protect it in accordance with this policy and applicable law.
